Description of work
The project co-ordinator will be responsible to ensure that correct procedures are carried out and all deadlines and obligations met. It will be his/her responsibility to seek consensus on project steering by clearly separating the basic functions to be performed. Management is structured into levels: High level decision making, Day-to-day management and Individual partner management.
Some project coordination work and communications with the EC will be carried out from premises in Amsterdam the Netherlands. Most communications shall be done electronically. Travels are anticipated, to attend a minimum of 4 project meetings either at INSEAD main premises or at partners’ site.
There is a number of Progress Reports to be submitted to the EC by the PM. This will receive a partial progress report from each WP Leader who will collect a progress report from each of the Task Leaders who will collect the necessary information from each of the partners involved, as well. Management Meetings at which overall project status, both technical and administrative, is reviewed, are crucial for the success of RTD projects for assessing the advancement of the project, assessing the risks, maintaining solid relationships, promote information exchange and make agreements and major decisions. They are held by the PCC. Means for monitoring the technical work will be: Technical Meetings to discuss detailed technical issues between two or more partners (too detailed or partial to be discussed at Management meetings).
Self-assessment of the project will be satisfied with the application of a Quality Assurance System with three different levels of quality controls: Quality of Management; Quality of the Technical Work; Quality of the Outputs. This assessment of the project will be aware of the priorities (taking care that important components receive proper attention, and that less important ones are not distracting), and will cover the risks (both to the Management, the Technical Work and the Outputs). In addition monthly email reporting on the proceedings and status of the project.
